Define the equipment covered
Identify the units you want included in the maintenance request. Name individual refrigerated cabinets, displays, cold rooms or freezer rooms, with the make and model where known.
Describe any existing maintenance schedule, the last service date and recurring concerns. Mention manufacturer’s documents or service records you hold. Where records are incomplete, say what is available.
Describe the maintenance work you want to discuss
Your requirements may include a routine service, overdue maintenance or a discussion about an existing schedule. Mention concerns such as door seals, temperature consistency, alarms or drainage as part of your request.
Include preferred downtime and access arrangements. You can describe any arrangements already made for moving stored products, units you want to keep available and restrictions around business opening hours.
If equipment already has an active fault, our refrigeration repairs page helps distinguish that repair requirement from scheduled maintenance.
F-gas leak checks and equipment records
For equipment within the F-gas rules, leak-check requirements depend on refrigerant quantity, global warming potential, relevant exceptions and detection systems. Government leak-check guidance (gov.uk) explains the conditions and responsibilities, including how rental arrangements can affect responsibility.
Mention existing refrigerant information and leak-check records if you hold them. A maintenance enquiry should identify these requirements separately rather than assume one interval applies to every unit.
